About the Role
Dividend is seeking a Legal Operations Assistant to support its growing legal and compliance functions. This position will work closely with the General Counsel/Chief Compliance Officer, attorneys and compliance officers of the company. As our legal/compliance operations assistant, you will be key in designing and supporting processes and practices to improve the day-to-day efficiency and effectiveness of the legal and compliance teams.

Job Duties and Responsibilities

  • Assist in the implementation of legal and compliance department tools to streamline new or existing practices, as well as manage design, rollout, and training for new systems.
  • Develop and enforce processes and policies to manage outside counsel usage and spend
  • Assist with budget matters and optimizing workflows within the legal and compliance department
  • Collaborate with cross-functional teams including sales, product, risk, operations, business development, HR, IT, and finance as well as well as various business units
  • Implement and manage Legal team metrics, bench-marking, and reporting
  • Help manage Legal technology initiatives such as e-billing and matter management, contracts management system, e-signature, compliance management, and other internal resources
  • Liaise with the IT team on identifying, implementing, integrating, and optimizing applications and tools, and building internal tools and automation capabilities
  • Assist with litigation management functions, with a particular attention to cost controls and litigation calendaring
  • Develop and support programs that promote collaboration and knowledge sharing across the team (e.g. centralized resources, processes, memos, and other learnings)
  • Help with licensing administration and the management and prosecution of licensing applications and renewals
  • Drive other operational efficiencies to increase productivity and contain costs


  • Minimum 3 years of relevant experience in Legal Ops, preferably building or assisting with legal operational programs, projects, and processes
  • Ability to think strategically while managing the details, and to make clear recommendations
  • Proven negotiation skills and comfortable dealing with all levels of our organization
  • Strong organizational, project management, execution, and data analytics skills
  • Proactive approach to recognizing needs, anticipating issues, and solving problems
  • Ability to balance and prioritize multiple time-sensitive tasks, and manage competing priorities effectively and independently, including driving results and delivering to deadlines and budgets
  • Ability to work effectively and collaboratively within a growing legal and compliance team and cross-functionally
  • Strong interpersonal skills, team-oriented attitude, and superior attention to detail
  • Technology-savvy skills, proficient in Salesforce and litigation and vendor management systems; an understanding of law firm billing, pricing and compensation practices is a plus
  • Experience managing state and NMLS licensing preferred

Pay: $65,000.00 - $80,000.00 per year

COVID-19 considerations:
Due to COVID-19 all employees are working remotely. The expectation is that once state and county mandates lift and it is safe to do so this position will report to our San Diego office.
