Position Summary

The Executive Assistant to the President reports directly to the President & CEO of Maryland Nonprofits. The ideal candidate will enjoy working within an organization that is mission-driven, dynamic, and team-oriented. They should have the ability to exercise good judgment in a variety of situations and will possess strong written and verbal communication, administrative, and organizational skills. The ability to balance and manage multiple priorities is important. The Executive Assistant will handle a wide variety of tasks and activities with discretion and will engage with a variety of internal and external organizational stakeholders.

The Executive Assistant will provide administrative, correspondence, fundraising, and technology support for the President & CEO. This will include scheduling meetings, drafting and answering correspondence, drafting and submitting grant reports, data entry and data management, taking minutes, and preparing documents. The Executive Assistant will also provide regular but limited administrative support to the Director of Learning and will assist the entire staff with certain logistical and administrative support including troubleshooting and assisting with technology. The Executive Assistant is an important part of the dynamic and collaborative Maryland Nonprofits team.

Responsibilities

o Support the President & CEO in scheduling, attending, and following up on meetings; drafting and answering correspondence; drafting and submitting grant reports; data entry and data management; taking meeting minutes; Board meeting preparation and execution; and preparing documents. (70%)

  • Provide broad logistical and administrative support for convenings, retreats, and meetings
  • Serve as a liaison with the Board of Directors. Assist with Board of Director meetings by preparing board packets, taking meeting minutes, and coordinating meeting preparation and logistics
  • Support operations of advisory groups, networks, and coalitions by setting agendas, scheduling meetings, taking minutes, and following up on items
  • Manage funder deadlines and draft grant applications and reports
  • Conduct research and analysis on issues of interest to the President & CEO
  • Provide calendar management; prioritize requests, troubleshoot conflicts with limited guidance, and make judgments and recommendations
  • Complete data entry and provide data analysis
  • Respond to the President & CEO’s phone calls/voicemails and emails when required.
  • Other administrative duties as assigned.

o Support the Director of Learning in meeting logistics and scheduling, speaker management, and other administrative duties related to Learning Department programs and events. (20%)

o Serve as support to the entire staff in managing certain organization-wide technology applications (e.g. SurveyMonkey, Zoom, Microsoft Teams, Salesforce), coordinating/managing virtual meetings (and eventually in-person meetings), and following up with meeting/event participants. Significant technology experience is not required, but willingness to navigate and learn new tools is. (10%)

o Attend and staff “all hands on deck” in-person events including the Maryland Nonprofits Annual Conference, Legislative Preview, and Member Appreciation Party. (Post COVID-19 Pandemic. All events are currently 100% virtual.)

Qualifications

  • Excellent communication skills, including strong writing and copyediting abilities
  • Excellent organizational skills, commitment to accuracy, and attention to detail
  • Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize tasks
  • Good judgment and ability to function independently
  • Ability to “manage up”
  • Self-motivated, consistent, and reliable
  • Tech-savvy and ready to learn new applications
  • Proficient in Microsoft Office: Word, Excel, PowerPoint, and Outlook
  • Experience with database management a plus, especially Salesforce
  • Familiarity with nonprofit sector a plus
  • Associates degree and/or 3+ years of administrative work experience
  • Spanish language skills a plus

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year

COVID-19 considerations:
Due to the COVID-19 pandemic, this is a completely remote position. We have a thorough safety policy in place for when it is possible to reopen our office and resume in-person operations.
